Tasks being performed on the position:

Core tasks

· Oversees the project budget. Cooperates with finance officer in the mission and in HQ.

· Verification of expenditures; adequate distribution of financial means, preparing forecasts together with financial officer in the mission and HQ.

· Ensure proper implementation of project activities.

· Planning emergency interventions together with the team - participating in FSL and WASH assessments or overseeing involvement of the team, preparing activity plan according to PAH approach and both clusters (FSL and WASH), planning monitoring activities with M&E Coordinator, ensuring timely reporting to FSL and WASH clusters, representing PAH in FSL and WASH clusters.

· Prepares and manages documentation in accordance with the donor’s directives and the

· Department standards – keeping set deadlines; collecting documentation according to the PAH check-list.

· Preparing documents and reports for FSL/WASH interventions conducted by the team (reports have to be prepared within 5 days after completion of activity and circulated to FSL/WASH partners and/or donors, OCHA and clusters).

· Manages the project team, trains employees and volunteers participating in the project

· Recruiting staff; delegating tasks and responsibilities; verifying results; arranging trainings, liaising with external consultants, conducting evaluation meetings.

· Coordinates and monitors actions of the subcontracted parties participating in the project

· Liaising with any emerging subcontractor - construction companies, artists/designers, suppliers (together with Logs Department).

· Cooperates with the partners partaking in the project.

· Oversees proper utilization of the material resources in the project, oversees the optimization of expenditures.

· Manages project promotional and PR activities in the area where the Mission operates, in cooperation and as agreed with the Head of Mission and the PR Department

· Carrying out activities, interviews etc.

· Prepares and updates informational and promotional material Preparing notes, entries; managing project’s photo resources; liaising with Communication Dep. in HQ and Communication Officer in the Mission.

· Cooperates with the donor during each of the planning stages and in project implementation, on the level of Mission activity.

· Attending meetings with donor; answering messages from donor, preparing regular reports (interim report, final report, sending general updates on planned interventions via e-mail).

· Cooperates with other Project Coordinators in exchanging knowledge, experience and needs.

· Cooperates with external institutions, including international NGOs, governmental institutions and their agencies, local NGOs and local government, as well as local and foreign media, in regards to the implemented project, in accord with the PR Department and the Head of Mission.

· Attending meetings, sharing documents, using documents approved by Head of Programmes.

· Attending FSL and WASH Cluster meetings and any other forum related to emergency response (e.g. IRNAs), preparing regular reports on projects activities to FSL and WASH Cluster actors.

· Reports in accordance with the Department guidelines and the donor directives.

· Implements other tasks given by the direct supervisor and the Head of Mission.

· Liaises with the Head of Programmes. Preparing weekly reports and tasks, taking part in regular meetings organized by the Head of Programmes.

· Liaises with Logistics Department. Preparing PORFs, Commodity Requests; orders tickets; describes invoices.

· Preparing payment requests, reports etc.

· Describing receipts/invoices related to the project.
